We are currently recruiting for an Executive PA in Kilburn.

 

Pay rate: PAYE 20 per hour/UMB 25.41 per hour.

Hours:  07:30am-15:30pm

Contract duration: Temporary ongoing

Department: Human Resources

 

Purpose:

The role holder will provide comprehensive, confidential, and professional support service to the Director in all aspects concerned with the efficient and successful operation of the HR Directorate.

The role is ‘front of house’ for HR and often the initial contact point along with other members of the HR department. Across all groups contact is made face-to-face, through email and telephone.

 

Duties: 

  • Creating agendas
  • Dealing with logistics – booking flights and meetings
  • Need to be able to take control of any complaints that come in
  • Drafting correspondence
  • Support to other senior level staff when required
  • May be a lot of last min changes so need to be able to priorities
  • Inbox management, use colour code system to prioritise
  • Track actions that come out of meetings – A system us in place to track this
  • Admin heavy role with a lot of diary management

 

Knowledge:

  • Comprehensive diary management of a busy diary, considering preparation for meetings and personal commitments.
  • Arranging logistics with internal and external stakeholders, such as booking meeting rooms, travel, visitor passes and escorting visitors.
  • Creating agendas for meetings and following up on actions and effective tracking of tasks/issues.
  • Managing databases and filing storage systems of all documentation and papers.
  • Undertake research for projects/briefing papers, collating information from a range of sources to produce draft responses.
  • Provide cover and resilience for the Deputy Directors’ PA and wider HR Private Office.

 

Experience: 

  • Experience providing designated support at a senior stakeholder/Director level.
  • Have managed/prioritised workload effectively, to co-ordinate activities and conflicting demands to ensure tight deadlines are met.
  • Used own initiative, be proactive and deal with specific queries as they arise.
  • Experience ensuring attention to detail and gathering, analysing, tracking, and collating complex and confidential information.
  • Experience drafting responses to queries.
