We are currently recruiting for a Senior Business Support Officer in London.

 

Pay rate: £22.62 per hour PAYE / £29.03 per hour UMB.

Hours:  Full time (35 hrs per week).

Contract duration: Temporary ongoing.

 

Purpose:

  • Attend on, and off-site, open days to promote job opportunities in the youth centres, etc.– this may, on occasions, be in the evenings for which prior notice will be given.
  • Participate in interviews on-site in the youth centres – this may, on occasions, be in the evenings for which prior notice will be given.
  • Manage end-to-end recruitment activities in a timely manner including issuing contractual documentation and co-ordinating pre-employment checks.
  • Accurately record information in databases and produce reports reflecting recruitment timelines and providing status updates escalating where applicable.

 

Duties: 

  • Manage and lead a team of Business Support staff where identified to deliver a comprehensive range of high-quality administrative and advisory support to services.
  • Assist with the management and development of the Business Support Team, ensuring regular and participative team meetings, 1:1s and PDRs for the Business Support Team take place.
  • To manage the team’s workload in a continually changing and pressured environment, reprioritising as necessary understanding competing demands.
  • Liaise with council officers and other stakeholders to ensure that systems, processes and outputs are in accordance with the needs of the service.
  • Maximise use of appropriate ICT systems to facilitate the effective delivery of the team’s duties and responsibilities and assist in delivery of training the team to ensure best use of IT systems across the service.
  • To assist the team in the compilation, co-ordination, collation and distribution of management data for the purposes of regular and ad-hoc reporting on all areas of the Business.
  • Assist in the development, implementation, maintenance of effective administration processes, continuously assessing new ways of working to enhance the business support service.
  • Assist in the monitoring and progressing of correspondence, enquiries and information flow and other queries within identified systems to ensure all targets are met.
  • Organise and administer meetings as specified within the service catalogue – forward planning, checking availability, booking venues, issuing invitations, collating and distributing papers, taking notes, and monitoring follow up actions as necessary.
  • Ensure the distribution and consistent application of standard procedures on behalf of the Business Support Team Leader.
  • Operate and maintain comprehensive administration and financial systems, ensuring appropriate levels of compliance with council policies and procedures. Undertake requisitioning activities using appropriate ordering and payment systems and procedures.
  • Keep up to date with changes in legislation, statutory and regulatory changes. Anticipate and address changes to client requirements, accordingly, adapting to new service needs and maintaining service levels.
  • Oversee the administration of transactions involving cash and cash equivalents (payment cards etc.).
  • Collate and compile statistical data and management information for audit and performance monitoring purposes. Produce high-quality, accurate reports using appropriate tools, e.g. MS Office applications
  • Deliver specific project/financial research tasks for the Business Support Team Leader ensuring that tasks are delivered to agreed standards.
  • Organise training in the use of new systems and processes, cascading information to other colleagues and supporting new and temporary staff as required.
  • Ensure full compliance across role holder’s area of responsibility with GDPR policy and process ensuring systems and procedures are consistently followed the correct recording, updating, reviewing and deleting of personal data in all data processing carried out.
